Nextcloud Workspace

What Is It?

Nextcloud Workspace is a fully managed, sovereign SaaS collaboration and productivity suite hosted exclusively in IONOS Cloud data centers in Europe. It delivers document editing, cloud storage, communication, and private AI as a GDPR-compliant alternative to US-based office suites. Each user seat includes 1 TB of storage and access to an integrated application set (Files, Office, Talk, Email, Calendar and Contacts, and an AI Assistant). The service became available on IONOS Cloud on April 9, 2026. It is provisioned and scaled from the Data Center Designer (DCD); there is no programmatic provisioning API.

What You Can Do

Files and Storage

Store and share files with 1 TB of cloud storage per user, file versioning, and large file support. Use File Drop for secure, password-protected uploads from external parties, and share files with expiration dates and password protection. Access is available via web browser, desktop sync clients (Windows, macOS, Linux), mobile apps (iOS, Android), and WebDAV. External storage repositories (for example S3) can be mapped directly into the interface.

Office and Real-Time Co-Authoring

Nextcloud Office (Collabora) provides a full online office suite with real-time co-authoring of text documents, spreadsheets, and presentations in the browser. Multiple users can edit the same file simultaneously without locking conflicts. Standard office formats are supported natively, including .docx, .xlsx, and .pptx (with the OpenDocument equivalents .odt, .ods, and .odp).

Communication with Talk

Nextcloud Talk provides secure, persistent team chat plus video conferencing optimized for interactive meetings. Broadcast-only webinars scale to several hundred viewers.

Note: The public product documentation publishes only the broadcast webinar ceiling (several hundred viewers). Do not quote a hard interactive attendee number as if it were from the public documentation.

Email, Calendar, and Contacts

Built-in webmail (Nextcloud Email) integrates an existing provider via IMAP and OAuth2 (Bring Your Own Mail), with AI-assisted writing, reply, and summarization. Integrated Calendar and Contacts link with Talk and Mail for shared scheduling and address books.

Private AI Assistant

The Nextcloud AI Assistant provides privacy-first text generation, summarization, and translation, powered by the IONOS Cloud AI Model Hub. Inference stays on IONOS infrastructure, so corporate data is never used to train models or exposed to third parties.

Additional Pre-Installed Apps

The suite ships with Whiteboard, Collectives (collaborative wiki), Deck (Kanban task management), Tables, Notes, and External Storage.

Security and Sovereignty

All data is hosted exclusively in IONOS-owned data centers in Europe and remains in the hosting data center. Access is secured by two-factor authentication (2FA). Administrators can connect existing corporate directories via LDAP, Active Directory, SAML, and OpenID Connect (OIDC). The platform includes built-in DDoS mitigation and antivirus scanning of uploaded files, and is built on audited open-source software to avoid vendor lock-in.

Pricing

Nextcloud Workspace is billed on a single dimension: user seats per workspace. The included 1 TB of storage per user is not billed separately. Two billing models are available, with rates in EUR per user per 30 days.

  • PAYG is calculated hourly and surfaced as a monthly per-seat charge. Each workspace is billed independently at its own tier; two 15-seat workspaces are each Tier 1 and do not combine to reach Tier 2.
  • The 1-Year Cloud Savings Plan is applied at the contract level; the 25-user minimum can be aggregated across multiple smaller workspaces.
  • Billing starts when a workspace is provisioned and seats are assigned, and reflects provisioned seats rather than active or logged-in users. Costs appear on the unified IONOS Cloud invoice and in the DCD Cost & Usage view.

Key Considerations

Billing & Costs

  • Model: Per user seat per month on a single dimension (seats); 1 TB storage per user is included
  • Two options: PAYG (Tier 1 for 1-24 seats, Tier 2 for 25+ seats, billed per individual workspace) or a 1-Year Cloud Savings Plan (contract-level, per-seat, 25-user minimum)
  • Invoicing: Unified IONOS Cloud invoice; usage visible in the DCD Cost & Usage view and via the IONOS Cloud Billing API v3

Limitations

  • A single workspace supports up to 300 user seats; deployments beyond 300 are a stated future roadmap item, not a current path
  • Seat counts can be increased at any time from the DCD, but seat reduction is not supported; provision only the seats immediately needed and scale up
  • Provisioning, seat scaling, and deletion are DCD-only; there is no Terraform, SDK, or IONOS Cloud API v6 resource for Nextcloud Workspace (a Billing API v3 exposes usage data only)
  • No numeric per-service uptime SLA is published for Nextcloud Workspace
  • Hosted in a single data center today (Berlin/TXL); globally provisionable but not multi-region selectable
  • End-to-end encryption for Files is optional (opt-in), not a default
  • On deletion, a workspace is scheduled for removal with a four-week grace period during which restoration can be requested via IONOS Cloud Support

Management Options

  • IONOS Data Center Designer (DCD): Provision workspaces, set the initial administrator email, increase seats, and delete workspaces (under Menu > Sovereign Workplace). Only a contract owner or contract admin can provision, scale, or delete workspaces.
  • Nextcloud application: All in-workspace administration (users, groups, files, sharing, SSO/LDAP/AD configuration) is done inside the Nextcloud application, not the DCD.
  • End-user access: Web browser, desktop sync clients (Windows/macOS/Linux), mobile apps (iOS/Android), and WebDAV.
